Screencast – Calendar Rollups: Is there a solution?
At least once a week I hear about or get a request for OOTB rollup calendars in SharePoint 2007. People have multiple calendars in a site and want to consolidate them into a single view. Nope, sorry, it’s not going to happen. You can’t create a single calendar from multiple calendars. But… if you think of them as lists, you might find something interesting.
Here are a couple things to play around with:
I’m going to create a couple screencasts by the end of the week to document how to use each of those techniques. I’ll embed them here, so keep an eye on this post.
Update: The first screencast is available using the link above. It’s a little bit of a download, but uses Flash, so things should look pretty good. Let me know how it goes.
Update: The second screencast is available using the link above.

Probably should mention in/for the first video that the content query web part is not available for WSS.
The calendar rollup is a problem I have to solve, so I will either have to code with spsitedataquery, or use Bamboo’s solution.
Videos are very nice though. Liked the hack for the second list one, but not a viable solution for me since there is no way to display items in separate lists in chronological order
It works, but not quite what I was expecting, I have made the change, I will see how it goes.
I have a similar problem. I need to display the information of multiple lists in one calendar. Can it be done?
Thank you for your effort creating these! It’s not exactly what I hoped for, but it definitely helped a novice like me understand the workings of Content Query WPs at least!
Hi Mark,
Have just been viewing your screencast on creating the consolidated calendar using lists and it’s exactly what I am looking for…except (there’s always a but… some people are never grateful ..:-)
As far as I can see, this is for a single site, and I am wanting to achieve the consolidated calendar using your method but have site A showing the consolidated list, with subsite B and subsite C providing the ‘projector reservation’ and the ‘out of office’ list. Do you know if this method will still work, as I thought lists could not be used across different sites, just within one site
regards,
Jim
Jim – In MOSS, web parts can not view across site collections, but viewing across sites can be done with the Content Query Web Part.
If you are using basic WSS, you’re going to have to figure something else out since there is no CQWP in WSS.

Mark
I’m using MOSS 2007, but I don’t have the Content Query WebPart available. Do you have to have Publishing turned on to access the CQWP?
Yes, publishing has to be turned on to activate the CQWP. — Mark
This is a con – as it doesn’t display multiple events in a single chronological order, which is what people want.
Sorry

The result doesnt show the dates either. I would have thought that this was pretty important. You dont seem to be able to add the date with a custom template either.
As another alternative, how about creating another Calendar and then using workflows to replicate entries from all other calendars into it?
This way you can still get a Calendar view.
Or perhaps just use a single Calendar in the first place and use filters to display any specific Calendar requirements?
Content Query Tool part does not show “Calendar” as a List Type????
It only contains “Pages Library”, “Custom List”, “Document Library”, “Pictures
Library”, “Posts”, “Tasks”, and “Workflow History”.
How do I add the Calendar choice there????
I would recommend creating one calendar, and put a qualifier in there to determine which area of the site the event would apply towards. Then create a calendar web part on the various pages and filter it in the view to only show that area. It doesn’t work on sub sites (or I don’t know how to get it to work on sub-sites), but if you just create some webpart pages it is hard to tell the difference.
I use Apps4Rent and so do not have access to a lot of the back end programming. Is there vendor softward for rollups that does not require back end loading?
Hello,
I want to provide calendar roll-up for all sub-sites in a site collection
I have Site A which has subsite1 and subsite2, then on SiteA, i would want to see an aggregate of the calendar entries from subsite1 and subsite2 on a calendar in Site A.
Can you please let me know how to do this!!
Thanks
