EndUserSharePoint.com: Lookups that cause problems
The question of the day comes from Steve in California:
I’ve set up a document library and created a custom Word 07 template, using fields in the library as fields in the document (via insert|quick parts|Document Properties|<field>). This works fine for most of the fields, but I have a couple that are lookups on other lists. In the regular sharepoint view, these show up properly, showing the content of the item that was selected for the document. However, in the doc itself, the ID field value shows up, so where I have a list, Technological Maturity, that has the following values:
- Bleeding Edge
- Established
- Mature
- End of Cycle
And when I create the document, I select “Established” from the list, in the document I just see “2” instead of “Established”.
Is there a way to force Word to see the value as opposed to the ID in this case?
I have seen this problem before, but I don’t know of a workaround that will keep your lookup as a field. It only seems to affect lookup fields. When I came across this, I changed the lookup into a choice field and it displayed in both SharePoint and the document. It was rather frustrating as we now have a list of 50-70 departments that have to be maintained in two separate places.

Just a quick note on Document Properties that include lookups.
I was experincing an issue where by the lookup list drop down box would be truncated @ 100 items (when viewed in word 07). To resolve this issue I modified the default views items per page prorperty to 10,000 (or a number greater than the items in the list).
It’s a strange bug, hopefully it helps someone else.
