EndUserSharePoint.com: Permissions on Workflow

I had a little email correspondance with Suzanne to solve a permission issue that I thought might be of interest. Here’s the entire exchange, in sequence.

Suzanne wrote: I understand the workflow process, but I need assistance on the best way to manage permissions associated with workfows. Do you need to set up special permission levels for a workflows process?

Mark responded: Not sure what you mean by “manage permissions”. Describe the process and outcome you are trying to accomplish.

Suzanne wrote: Is a different permission level required for someone to approve a document? Example: If  I have contribute rights to a document library, would this be enough for me to approve a document? 

Mark responded: Nope… there is a permission level right above “Contribute” called “Approve”. You’d want to at least give them that level.  Here’s the description: “Approve – Can edit and approve pages, list items, and documents.”

Suzanne wrote: Thanks, Mark. We didn’t have a “Approve” permission level, so I created one.

    I have a custom task that allows contributor type user to submit tasks/project requests. The list view is setup by default to view all tasks but only lists approved items. When I default the view to Approve/Reject view which lists all submitted tasks, the contributors are no longer able to access the sharepoint page. Is there a way to display all items and providing access to contributor type access?

    Shon – If I understand the situation, you have approval set on the item list. Contributors will not be able to view all items, since any items not approved are not exposed to the public. People should be able to view the items they entered, but not those of other participants.
    The only people able to see all items would be the owers of the list.

    my problem: i want customize permission when start one work flow.normally, i want to start a work flow i must have at last a permission which allows edit it. but now, i want to start my work flow without edit permission – ex: read permission. How way i configure it without using code.

    Hi Cuongkv,
    I have the same problem. I have a workflow. The user need Edit permissions to “approve”, but he/she should not be able to Edit the item.
    What did you do? Did you find out how to manage it?
