How can I group recurring events in a calendar list?

A question has come up on Stump the Panel that I’d like to throw out to the SharePoint community. I’ll let Rick state it in his own terms:

With regard to my question about creating a view for calendar events (grouped by date and including all individual instances of recurring events), I submitted an STP post earlier and you can see my original question and Paul’s reply here:

I am attaching a screen shot to show ootb behavior. In the top web part, we can see the basic AllItems view. This can be grouped by start time but recurring events only appear once (see 1/19/2009 and 1/14/2009 items), with the exception being if one of the recurring instances has had its schedule manually modified (see 2/27/2009 item). The CurrentEvents view gets me the data I want, but I can’t group it!

My user requirements are:

  • display the information in a list view
  • group by date of the individual event occurrence
  • showing all individual instances of recurring events
  • show details of event (such as description, resources, other custom fields if any)
  • contain active hyperlinks to edit individual item (non-broken recurring events should ideally select edit all or edit single instance, but edit single instance only would be acceptable if greatly simplifies the effort
  • view to be filterable by selected items (such as a custom field or site columns; e.g. category/department/edition/etc)

I have tried to work with this using a variety of ootb web parts, but the tendency is that I cannot connect one to the other due to recurring events, or the relevant data is not exposed.

Does this give you enough of an idea as to what we want done?

I sense that creating a DFWP or CQWP with appropriate xsl code (and maybe some jquery) would get me to the promised land, but I am not sure of the steps to get me there. I have done a lot of work with MOSS IA, deployment and administration; and have recently been focusing more on branding (master pages, page layouts, css). I expect to be doing a lot more with xslt, jquery and such in 2009, but I am not proficient here yet.

My preference is for a solution that can be produced using SharePoint Designer and not VS (for ongoing supportability reasons).

Any thoughts on what kind of effort it would take to develop a solution for this?

    Curious how this can be categorized for a “Power User” yet require SharePoint Designer to implement. Do most power users have designer? That’s not the case for me. I guess you could call me a “super power user” and I STILL don’t have designer nor do I ever expect to.

    Wonder how others view a Power User and the expectations of what they can and cannot do.

  2. Lynda – When categorizing articles, there are three broad levels of users: Information Worker, Power User and Site Collection Administrator.

    This article is categorized for Power Users, since Site Administrators can implement the solution without access to the server. You would not have to be a Site Collection Admin to do this.

    Note that for recurring events “start time” is not necessarily the time of the first event.
    An example: I can set up a recurring meeting that happens every Thursday, with March 1st as “Start time”. The date of the first meeting will actually be March 5.
