Document Content Types And Content Placeholders

  1. I have created a document template for use by my HR department as they are auditing job descriptions and requirements. However, they need the inclusion of the date saved, who saved it and the last time it was changed and by who. This information is clearly visible in SharePoint, but there doesn't appear to be a way to get the information from SharePoint to automatically populate my template. Any ideas?

    Here's how I'm accomplishing the goal. Created a content type called HR Job Description and included my columns. Created a word document template and attached it to the content type. Navigated to the content type and chose to edit the template to get my document fields from SharePoint. Created and saved my template, but I cannot find a way to insert Created By, Created Date, Modified By, Modified Date as options in my document properties panel. Any ideas on how this could be done?

    The inability to use all the columns as Word properties is one of the really annoying "features" :))))

    My solution is to create 4 new columns (2x date time, 2x single text) and than create a SPD workflow to update these from the original columns. Workflow fires when item is created and updated.

    Do not forget do add a delay activity in your workflow otherwise your workflow would create a recursion.

    The problem is workflow reads username istead of full name. Use this activity to fix that: http://sharepointapplied.wordpress.com/2009/01/08/get-full-name-in-sharepoint-designer-workflow/

    This might not work if you want to deploy your content type to a number of Document libraries.

    I will post a blog post later, as this seems to be really interesting...

    PS Please do not ask how to display version number inside Word document, that is a PROBLEM :))))

  3. Yes, you can insert document library metadata into Word documents. Use Quick Parts in Word 2007. You can register for the Train the Trainer workshop on this (endusersharepiont) site to learn exactly how and why to do this.

  4. @Laura: So you know how to use the system columns like CreatedOn or Version in Quick part without the workaround I proposed? Please let me know... the version is still killing me...
