SPD Workflow Security

    I created a sharepoint site to track customer issues. Customers should be able to submit issues . Support users can log on , edit and add dialogue to the issues. When customers create an issue, I have created a SPD workflow to assign the Contact Name, email, phone no so that customers doesn't need to key in on the newform.

    I gave support users contribute permission and Customers permissions to add and view. When I login as customer, workflow stops with error "updating list". It works fine, when I login as a support user.

    I don't want to give customers contribute permissions as they can see the internal dialogue for the issue.

    Is there anyway to run the workflow under different security or another solution is appreciated

    No, workflows run under the permissions of the user that initiated the workflow. They will need to have contribute permissions to update the list item.

    A work around would be to have users add entries to List A which then replicates to list B. You could even have list B kick off an email to the customer with their case/ticket number. List B would be hidden from the user submitting the ticket. They have contribute rights to both lists, but have no idea the secondary list exists.

    Thanks Eric, I thought there would be simple solution.
    If I use your workaround, how do you hide the List B. Is it removing the link from the quick launch?

    Yes, I would remove it from the quick launch. When coupled with hiding or moving the view all site content link, the users won't know it exists.

  6. You can also edit a list's properties so that it doesn't show in "View all site content". In SharePoint Designer, right click the list name, and choose "Properties". On the Settings tab, put a check next to "hide from browsers".
